All references to time in the RFP are references to the time in the City of Vancouver, as indicated in the electronic timestamp the Proposal receives upon delivery to the email address specified herein, which is in turn synchronized to Network Time Protocol (NTP) provided by the National Research Council of Canada adjusted to local Pacific Time Zone.

SUBMISSION OF PROPOSALS

Proponents should submit their Proposals on or before the time and date specified in
the bottom row of the table in Section 2.1 above (the “Closing Time”).

Each Proponent should submit its Proposal by email in accordance with the following:

Subject of the file to be: PS# - RFP - Title - Vendor name.

Document format for submissions:
-RFP Part C in PDF format – 1 combined PDF file,
-Appendix 3 (pricing tab) in Excel format, and;
-Any other attachments if necessary

Zip the files to reduce the size or email separately if needed.

Send your submissions to Bids@vancouver.ca do not deliver a physical copy to the
City of Vancouver.

Submitting the files via Drop box, FTP, or similar programs, is not acceptable.

To be considered by the City, a Proposal must be submitted in the form set out in Part
C (the “Form of Proposal”), completed and duly executed by the relevant Proponent.

Proposals received after the closing time may be returned unopened.

Faxed proposals will not be accepted.

General Description of Requirement

The City of Vancouver (the “City”) is looking to engage a Contractor, on a multi-year program, to perform maintenance work on the Granville Street Bridge gantry service galleries. The Gantry service galleries were originally built in 1954, with electrical and mechanical modifications in 1990, and electrical and mechanical rehabilitation in 2015-2016. The gantry service galleries, or travelers, provide access to workers performing bridge maintenance and allow workers and Consultants to do inspections on the bridge. The Contractor is expected to conduct scheduled maintenance work,
and repairs to mechanical, electrical and structural components of the system on as needed basis. The Contractor would also provide training on the operation of the gantry service galleries to City staff and Contractors on an as-needed basis and provide drivers during inspections.

Information Meeting

An information meeting (the “Information Meeting”) will be held to enable Proponents to seek clarification with respect to any aspect of the RFP in a group forum. The details are as follows:

Date: Tuesday, August 17, 2021 (as specified in Section 2.1)
Time: 10:00 am (as specified in Section 2.1)
Location: 600 Kinghorne Mews, Vancouver, BC
Deadline for submission of Information Meeting registration form (Appendix 1 to Part A):
9:00 am - Monday, August 16, 2021

Potential Proponents are encouraged to read the RFP and submit any questions relating to the RFP to the Contact Person prior to the Information Meeting.

Potential Proponents interested in attending the Information Meeting should preregister for the Information Meeting by completing and submitting the form contained in Appendix 1 to this Part A by e-mail to harinder.kainth@vancouver.ca , on or before the time and date specified in Section 2.1
