o RFP Part C in PDF format – 1 combined PDF file,
o Any other attachments if necessary
• Zip the files to reduce the size or email separately if needed.
• Send your submissions to Bids@vancouver.ca; do not deliver a physical copy to the City of Vancouver.
• If you did not receive an automated email within few minutes, check your junk folder first, and then contact Purchasing@vancouver.ca.
• Submitting the files via Drop box, FTP, or similar programs, is not acceptable.
Proponents are advised to submit proposals as early as possible, prior to March 29, 2019.
To be considered by the City, a Proposal must be submitted in the form set out in Appendix 1 (the “Proposal Form”), completed and duly executed by the relevant Proponent.
Amendments to a Proposal may be submitted via the same methods, at any time prior to the Closing Time. Proposals are revocable and may be withdrawn at any time before or after the Closing Time.
Proposals received after the closing time may be returned unopened.
Faxed proposals will not be accepted.

General Description of Requirement
The City is interested in selecting an entity (each, a “Proponent”) that submits a proposal (each, a “Proposal”) with the capability and experience to efficiently and cost-effectively meet the requirements described in this RFP. The City expects to select a Proponent to enter into contract negotiations. The term of any agreement is expected to be one (1) year with the option of two (2), one (1) year options to extend at the City’s sole discretion.
However, the City may: (i) decline to select any Proponent; (ii) decline to enter into any agreement; (iii) select multiple Proponents for negotiation; or (iv) enter into one or more agreements respecting the subject matter of the RFP with one or more Proponents or other entities at any time. The City may also terminate the RFP at any time.

Information Meeting
An Information Meeting is planned for 9am-11am on Friday, March 1, 2019.
Proponents requesting to attend the Information Meeting should email Purchasing@vancouver.ca by February 27, 2019. Subject line of the email should be: “PS20190249 Vancouver Parks & Recreation Concession Operators”. If the City determines that an Information Meeting will be conducted, details will be posted on the City’s website at: http://vancouver.ca/doing-business/open-bids.aspx _____________________________________________________________________________
