General Description of Requirement

Details of the City’s objectives and requirements to which the RFP relates are set out in Part B of the RFP. The City welcomes proposals that are responsive to this RFP (“Proposals”) respecting innovative or novel approaches to the City’s objectives and requirements.

The City uses a hardware-based Google Search Appliance (“GSA”) to index all of the web pages on the Vancouver.ca website, and to provide advanced search functionality on the Vancouver.ca website and associated applications. The current GSA does not perform internal enterprise searches, although the City envisions the GSA replacement to have this functionality. Enterprise search applications require the indexing of files on network drives, email servers, SharePoint, and the City’s corporate records management system (HP Trim), and include searching internal documents by author name, prices, dates, and other data. Currently, searchable document types include PDF, Word, and PowerPoint. Google’s enterprise partners provide integration services to integrate the GSA’s search with customer document archives, applications, and websites.

The City’s GSA will reach end-of-life on September 30, 2018. The City has a continuing requirement for the functionalities currently provided by the GSA; therefore, the City requires a working replacement (with equivalent or better functionalities) for the GSA on or before September 30, 2018 in order to minimize business interruption. The City intends to find a new solution (appliance, or cloud-based) through the RFP.
