CLOSING DATE & TIME

3:00:00 pm (Local Vancouver Time), Thursday, June 25, 2020

“Vancouver Time” will be conclusively deemed to be the time indicated in the electronic timestamp the Tender receives upon receipt at the email address specified herein, which is in turn synchronized to Network Time Protocol (NTP) provided by the National Research Council of Canada adjusted to local Pacific Time Zone.

CLOSING LOCATION

Tenders are to be addressed to the Supply Chain Management office, 4th Floor, City of Vancouver, 453 West 12th Avenue, Vancouver, British Columbia, Canada, V5Y 1V4, and received at bids@vancouver.ca prior to 3:00pm, Vancouver Time (as defined in Note 3 below), on Thursday, June 25, 2020 (the “Closing Time”).

Tenders will be not be publicly opened. Tender results can be found within 48 hours of the Closing Time at the following website:

Tenders received after the closing time may be returned unopened.

General Description of Requirement

The City of Vancouver as represented by its Vancouver Board of Parks and Recreation (the “City”) invites Tenders for playground renovation work at the RayCam Community Centre.

The Work generally includes, but is not limited to:

-Renovation of the existing playground at the RayCam Community Centre; Work includes, removal of existing asphalt paving and rubber tile surface, installation of new custom wooden play equipment, in-ground playground, drainage, synthetic turf and pour in place rubber surfacing, steel picket fencing and custom fencing with wood panels.

The Work Site is located at 920 E. Hastings Street, Vancouver, British Columbia. The Work Site is further described in the Tender Documents.

Information Meeting

VIRTUAL INFORMATION MEETING

Tenderers are to attend the virtual information meeting (the “Virtual Information Meeting”) on June 11, 2020 commencing at 11:00 am.

Prior to the Virtual Information Meeting, the Project Manager will put together a PowerPoint presentation together with photos of the site highlighting the scope of services that will be involved for the RayCam Community Centre playground replacement in Vancouver, British Columbia. On the day of the virtual information meeting, Bidders will login to the Cisco Web-ex Video Conferencing Platform. The Project Manager will provide commentary on the site and will also share the photos of the site together with a brief PowerPoint presentation during the Webex session. The Web-ex session will address any questions, but Bidders are encouraged to send formal questions by e-mail to the Contact Person specified on this ITT. Upon request, uploads of the PowerPoint Presentation highlighting the scope of services may be shared to all vendors on our City of Vancouver website for a limited time period.

Tenderers are asked to pre-register for the Virtual Information Meeting by submitting the Virtual Information Meeting Attendance Form (Appendix 1) to the Contact Person by email prior to June 8, 2020.

ADMINISTRATIVE REQUIREMENTS

Tenderers are asked to indicate their intentions to submit Tenders by submitting the Response Notification Form (Appendix 2) to the Contact Person by email on or before June 18, 2020.
